The seven parts of a realistic Verkada budget

1. Hardware

Cameras, controllers, readers, intercoms, viewing stations, sensors, gateways, mounts and accessories are model-specific. Camera resolution and retention class, controller door capacity and credential technology change the bill of materials.

2. Cloud licenses

Many product families require a cloud license. Match the exact license, term, product count, retention and optional capability to the hardware. Include renewal timing and responsibility in the proposal.

3. Installation

Labor depends on pathways, height, lifts, conduit, firestopping, existing cable, door conditions, occupied-space scheduling and commissioning complexity.

4. Network and power

PoE budgets, switch capacity, VLANs, DHCP/DNS/NTP, firewall policy, internet resilience and UPS runtime can require work outside the device price.

5. Credentials and identity

Physical credentials, mobile NFC licenses, readers, directory integrations and badging workflows can materially change access-control cost.

6. Retention and bandwidth

Camera model, resolution, local retention class, optional cloud backup and export practices influence both cost and operational design.

7. Support and lifecycle

Include training, documentation, spare strategy, preventive maintenance, service response, license renewals and future expansion.

Why online hardware MSRP is not an installed-system price

The official catalog is useful for model comparison, but it cannot see the building. Two projects with the same device count can differ substantially because one has reusable cabling and suitable doors while the other needs pathways, door repair, power supplies, switch upgrades, lifts and after-hours work. A defensible quote follows a survey and an approved scope.

For multi-year comparison, calculate hardware, initial licenses, anticipated renewals, installation, network changes, support and expected expansion over the same analysis period. Compare that total with alternatives using equivalent retention, support and functionality rather than only the first-year invoice.
